Terms and Conditions
1. About these terms
These terms apply to every Beginner and Gold membership at Mike's Judo Club for the membership year 1 January to 31 December 2027. By signing up through MyMA (operated by Nest Management), the parent or guardian enters into this agreement with us in their own name, on behalf of each child they register. The parent or guardian is responsible for paying the fees and for the obligations in these terms. The child is not a party to this contract and is not personally liable for fees.
In these terms, “we”, “us” and “the club” mean Mike's Judo Club, the trading name of Mike's Judo Academy Ltd (company number 13683115), St Marks Community Hall, Abercorn Place, London NW8 9YD, telephone 07984 465551. “You” means the parent or guardian who signs, and “your child” means each child registered under your account.
2. Memberships and sessions
Each membership gives 42 weeks of sessions in 2027. Sessions run Monday to Friday, in line with the club's 2027 session calendar. Club coaches will tell parents whether each child is in the Beginner or Gold group.
| Membership | Session length | Days available | Plans |
|---|---|---|---|
| Beginner | 1 hour | Monday, Tuesday and Wednesday | Once, twice or three times a week |
| Gold | 2 hours | Monday to Friday | Once, twice, three times a week or unlimited |
- No booking needed: you do not book a set day. Your child may attend any session open to their membership, up to the number of sessions a week in their plan.
- Unused sessions: cannot be carried over to another week or month, or exchanged for a refund. For example, a child on a once-a-week plan who misses a week cannot attend twice the following week to catch up.
- No sessions: on bank holidays, in Easter week (29 March to 2 April 2027), in May half term (31 May to 4 June 2027), in October half term (25 to 29 October 2027) or from 14 December to 31 December 2027.
- August: sessions run in the week of 23 to 27 August 2027 only.
Extra sessions
All places at Mike's Judo Club are offered through monthly membership. We do not offer single sessions or pay-as-you-go places. Current members may add a session beyond their plan, subject to space:
| Membership | Price per extra session |
|---|---|
| Beginner | £15.00 |
| Gold | £27.50 |
- A child may take up to 2 extra sessions in any calendar month.
- Extra sessions must be paid for through MyMA before the session. Beginner members cannot attend Gold sessions.
- If your child regularly needs more sessions than their plan allows, we may suggest moving to the next plan. We will only change your plan with your agreement, and any change will take effect from the 1st of the following month.
3. Fees and payment
Fees are paid by monthly direct debit through MyMA, in 12 equal payments covering January to December 2027, including August. The monthly fee is the annual cost of 42 weeks of sessions spread across the year, not a charge for the sessions in that month.
Monthly fees
| Plan | 1 child | 2 children | 3 or more children |
|---|---|---|---|
| Beginner, once a week | £40.00 | £75.00 | £105.00 |
| Beginner, twice a week | £80.00 | £150.00 | £210.00 |
| Beginner, three times a week | £120.00 | £200.00 | £290.00 |
| Gold, once a week | £65.00 | £120.00 | £175.00 |
| Gold, twice a week | £130.00 | £240.00 | £295.00 |
| Gold, three times a week | £195.00 | £350.00 | £395.00 |
| Gold, unlimited (5 days) | £300.00 | £425.00 | £475.00 |
- Prices are per month for the whole family. Family prices apply to children from the same family on the same plan. The 3 or more price covers any number of children from 3 upwards.
- Every child must be registered by name in MyMA. Sessions belong to the named child and cannot be passed to a brother or sister.
- Your direct debit should stay active for as long as your child is a member, until your notice period under section 5 has ended.
- A £15 charge applies to each failed or returned payment, which reflects our reasonable administrative and bank costs. Your child cannot attend sessions while any payment is outstanding.
Families with Beginner and Gold children
If your family has children in both groups, each Gold child pays the 1-child Gold price, and each Beginner child pays the second child Beginner price below.
| Beginner plan | Second child price (per month) |
|---|---|
| Once a week | £35.00 |
| Twice a week | £70.00 |
| Three times a week | £80.00 |
For example, one Gold child once a week (£65) and one Beginner child once a week (£35) pay £100 a month in total. Families with children in both groups pay the Gold family deposit (£225) and the Gold family annual membership fee (£275).
Payment dates for 2027
| Payment | Due |
|---|---|
| First monthly direct debit (January) | Collected on 15 December 2026 |
| Deposit | By 31 December 2026 |
| Annual membership fee | By 31 January 2027 |
Your child cannot attend sessions from January 2027 until the deposit and the first monthly direct debit have been received.
4. Deposit and annual membership fee
The deposit is paid before your child's first session. The annual membership fee for 2027 is due by 31 January 2027. If your child joins after that date, both are paid when you join.
| Membership | Deposit | Annual membership fee |
|---|---|---|
| Beginner | £75 per child, £150 per family | £75 per child, £150 per family |
| Gold | £175 per child, £225 per family | £150 per child, £275 per family |
- Deposit: the deposit is held by the club for as long as your child is a member. It is refunded within 30 days of your child's membership ending, less any unpaid fees or charges, which the club may deduct from it. The deposit cannot be used in place of monthly fees, including your final month.
- Annual membership fee: covers the 2027 membership year and is not refundable, except where you cancel within the 14-day cancellation period in section 5 or end the membership because of a change we make under section 8. If your child joins part-way through the year, the fee is reduced pro rata for the full months remaining. Your child will not be entered into any competitions in 2027 until the annual membership fee has been paid.
5. Cancelling your membership
- Your 14-day right to cancel: because you join online, you have a legal right to cancel within 14 days of the day your membership is confirmed, without giving a reason. If you ask for your child to start sessions within those 14 days and then cancel, we will refund all payments less a proportionate amount for sessions provided up to the date you told us. To cancel, email admin@mikesjudoclub.co.uk or message us through MyMA. A model cancellation form is available on request.
- Notice after the 14-day period: you must give one full calendar month's notice to cancel, by email to admin@mikesjudoclub.co.uk or by message through your MyMA account. Telling a coach in person does not count as notice. Notice runs from the 1st of the following month. For example, notice given on 10 March runs from 1 April and ends the membership on 30 April, and the April payment is still due.
- Deposit refund: your deposit is refunded under section 4 when the membership ends, less any unpaid fees, including fees due for the notice period.
- Cancelling the direct debit: cancelling your direct debit with your bank does not count as notice. Your rights under the Direct Debit Guarantee are not affected.
- Restarting a stopped direct debit: if your direct debit is cancelled or stopped while your child is still a member, a £25 admin fee applies to set it up again, which reflects our reasonable costs. Any missed payments must also be paid. Your child cannot attend sessions until these are paid and MyMA has confirmed the new direct debit.
- Coming back after leaving: if your child's membership has ended and they rejoin within 6 months, a £50 rejoining fee applies, which covers the cost of re-registering your child, setting up a new direct debit and holding their place in their group. A new deposit must also be paid. The £25 admin fee does not also apply.
6. Missed sessions and changes
- Missed sessions: fees are not reduced or refunded for sessions your child misses, including through illness or holidays.
- Sessions cancelled by the club: if we cancel a session, for example because the hall is unavailable, we will tell you as soon as possible through MyMA. We will then offer a choice of make-up dates, so your child can make up the session within the 2027 membership year. If we cannot offer a reasonable make-up date, we will refund or credit the fees for those sessions.
- Changing plans: you can move up to a bigger plan at any time. You can move down to a smaller plan no more than once in the membership year. All plan changes take effect from the 1st of the following month. If your child moves from Beginner to Gold during the year, the difference in deposit (£100) must be paid. The difference in annual membership fee is not charged.
- Illness, injury, holidays and suspension: fees are still due while your child is ill, on holiday or suspended.
- Long-term injury: once per membership year, you may pause your membership for at least one month if your child has a long-term injury. A doctor's note and/or proof of physiotherapy (depending on the injury) is required before the pause can be applied. Monthly fees are not charged during the pause.
7. Safety, health and conduct
- British Judo licence: every member must hold a current British Judo Association licence, which includes insurance. Parents are responsible for keeping it up to date. A child cannot train without a current licence, and fees are still due while it is being renewed.
- Welfare and medical: tell us about any medical condition, injury or allergy before your child's first session, and update MyMA if anything changes. In an emergency, if we cannot reach you, our coaches may arrange first aid and emergency medical treatment for your child and will contact you as soon as possible.
- Drop-off and collection: children must be dropped off and collected on time by a parent or an adult you have named in MyMA. A child may only go home alone if you have given written permission in MyMA. They must then sign out with a coach so the time they left can be logged and sent to you.
- Behaviour: members must follow the coach's instructions and the club's Player Code of Conduct. Parents and guardians must follow the Parent and Guardian Code of Conduct. Serious or repeated misbehaviour may lead to suspension or membership being ended. We will usually discuss concerns with you first. If we end a membership, we will refund the deposit and any fees paid for the period after it ends, less any sums owed.
- Kit and hygiene: members must wear a clean judogi, keep nails short and remove all jewellery. Long hair must be tied back. Children with long nails will not be allowed to take part in the session, so please check your child's nails beforehand.
- Safeguarding: all coaches hold enhanced DBS checks, which can be verified on the British Judo coach register. If you have any concerns about a child's safety or wellbeing, please speak to one of the club's welfare officers, Masiel Lopez Sanchez or Nelly Chiriceanu, at club@mikesjudoclub.com. As a club governed and insured by British Judo, we follow British Judo's safeguarding policy.
8. Photos, data and changes to these terms
- Photos and video: we will only take and publish photos or video in which your child can be identified (for example on the club website or social media) if you give consent when signing up in MyMA. You can withdraw consent at any time by telling us, and we will remove images we control as soon as reasonably possible. We will not publish a child's full name alongside their image.
- Your data: Mike's Judo Club is the controller of your family's and your child's personal data. We store it in MyMA, provided by Nest Management as our processor, to run memberships, payments and safety records. We process it to perform our contract with you, to meet our legal and safeguarding obligations and, for health information, to protect your child's vital interests and with your explicit consent. We share it only with British Judo for licensing and insurance, and with emergency services where needed. We keep it for 2 years after membership ends, or 6 years for financial records, unless the law requires longer. You have rights to access, correct, erase, restrict and object to the use of your data, and to complain to us and to the Information Commission (ico.org.uk). Our full privacy policy is available on our website.
- Changes: we will give at least three calendar months' notice of any change to fees, and one calendar month's notice of any other change to these terms. If you do not accept a change, you may end your membership before it takes effect, without any rejoining fee or loss of deposit, and we will refund any part of the annual membership fee covering the remaining full months.

9. Our responsibility to you
Judo is a contact sport and carries a risk of injury even when it is taught safely. We will provide our services with reasonable care and skill. We do not exclude or limit our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law, including your rights under the Consumer Rights Act 2015. We are not responsible for loss that was not reasonably foreseeable, or for loss of or damage to personal belongings brought to sessions unless caused by our negligence.
10. Events outside our control, complaints and law
- Events outside our control: we are not responsible for delays or cancellations caused by events outside our reasonable control, such as severe weather, venue closure or public health restrictions. If sessions are cancelled for more than two consecutive weeks, we will offer make-up sessions, online alternatives or a pro rata refund or credit.
- Complaints: if you are unhappy, please contact admin@mikesjudoclub.co.uk. We aim to respond within 14 days. Safeguarding concerns may also be raised with British Judo.
- Law and disputes: these terms are governed by the law of England and Wales. You may bring proceedings in the courts of England and Wales or, if you live in Scotland or Northern Ireland, in the courts of your home country. If any part of these terms is found to be unenforceable, the rest will still apply. Only you and we have rights under these terms.
